Art. 6(1)(a) GDPR serves as the legal basis for processing when we obtain consent for a specific processing purpose. If the processing of personal data is necessary to fulfill a contract, where the data subject is a party to the contract, the processing is based on Art. 6(1)(b) GDPR. The same applies to processing operations required to carry out pre-contractual measures, such as inquiries about our products or services. If our company is subject to a legal obligation requiring the processing of personal data, such as fulfilling tax obligations, the processing is based on Art. 6(1)(c) GDPR. In rare cases, processing of personal data may be necessary to protect vital interests of the data subject or another natural person. Purpose of Processing
We use the "Teams" tool to conduct telephone conferences, online meetings, video conferences, and/or webinars (hereinafter referred to as "Online Meetings"). "Teams" is a service provided by Microsoft Corporation, which is headquartered in the USA.

Please note: If you access the "Teams" website, the provider of "Teams" is responsible for data processing. Accessing the website is only necessary to download the software for using "Teams."
You can also use "Teams" by clicking on "Join" directly in Outlook or Teams.
If you do not wish to or cannot use the "Teams" app, most functions are also available via a browser version, which you can find on the "Teams" website.
What Data is Processed?
Various types of data are processed when using "Teams." The extent of data processing depends on the information you provide before or during participation in an "Online Meeting."
The following personal data is subject to processing:
User information: First name, last name, phone number (optional), email address, password (if "Single Sign-On" is not used), profile picture (optional),
Department (optional).
Meeting metadata: Topic, description (optional), participant IP addresses, device/hardware information.
For recordings (optional): MP4 file of all video, audio, and presentation recordings, M4A file of all audio recordings, text file of the online meeting chat.
For phone dial-ins: Information on incoming and outgoing phone numbers, country name, start and end time. Additional connection data, such as the device's IP address, may be stored.
Text, audio, and video data: You may have the option to use chat, question, or poll functions during an "Online Meeting." In this case, your text inputs will be processed to display them during the "Online Meeting" and potentially log them. To enable video display and audio playback, data from your device's microphone and, if available, camera will be processed during the meeting. You can turn off the camera or microphone yourself through the "Teams" applications.
To participate in an "Online Meeting" or enter the "Meeting Room," you must provide at least your name.
Extent of Processing
We use "Teams" to conduct "Online Meetings." If we intend to record "Online Meetings," we will inform you transparently in advance and, if necessary, seek your consent. The fact of the recording will also be indicated in the "Teams" app.
If it is necessary to log the results of an online meeting, we will log the chat contents.
For webinars, we may process the questions asked by webinar participants for recording and follow-up purposes.
Automated decision-making pursuant to Art. 22 GDPR is not used.
Legal Basis for Data Processing
If personal data of employees of flowedoo GmbH is processed, the legal basis for data processing is § 26 BDSG. If personal data related to the use of "Teams" is not required for establishing, performing, or terminating the employment relationship, but is an essential part of using "Teams," the legal basis for data processing is Art. 6(1)(f) GDPR. In such cases, our interest is in the effective conduct of "Online Meetings."
In other cases, the legal basis for data processing in the conduct of "Online Meetings" is Art. 6(1)(b) GDPR, insofar as the meetings are conducted in the context of contractual relationships.
If no contractual relationship exists, the legal basis is Art. 6(1)(f) GDPR. Here too, our interest is in the effective conduct of "Online Meetings."
Recipients / Disclosure of Data
Personal data processed in connection with participation in "Online Meetings" is generally not disclosed to third parties unless it is intended for disclosure. Please note that the contents of "Online Meetings," just like in personal meetings, are often intended to communicate information with customers, prospects, or third parties and are therefore intended for disclosure.
